Interview the people doing the work and examine real examples. The official procedure may differ from the operating reality. Waiting points, workarounds and repeated requests often explain more than a high-level process chart.

Write around decisions and exceptions.
Define the trigger, inputs, owner, steps, quality checks and escalation rules. Include common exceptions and the evidence needed to close the task. A usable SOP reduces dependence on memory without becoming an instruction manual for every possible situation.

Connect documentation to the system.
Forms, workflow rules and task ownership need to reinforce the procedure. Test the process with users, update the guidance and assign a document owner. Set review triggers when systems, responsibilities or requirements change.
